If you manage rental property in Kenya, you already know the pain: WhatsApp messages at 11pm, tenants claiming they "sent it yesterday," Excel spreadsheets with missing rows, and a reconciliation exercise every month that takes the better part of a working day.
The good news: M-Pesa has solved this problem โ but most landlords are only using it halfway. They're receiving payments into a Till or Paybill number, then manually checking their M-Pesa statement and updating their records. That's not automation. That's manual work with a digital payment layer on top.
This guide shows you what full automation looks like โ and how to get there.
The tenant sends money to your personal number. You check your phone. You update your Excel. Problems: impossible to know who paid what for which unit without calling them. Statements are a mess. Month-end reconciliation is hours of work.
You set up a Safaricom Paybill number. Tenants send rent to Paybill XXXXX, Account = their unit number (e.g., A4, Block B Unit 3). This is better โ you can see who paid by checking the account field. But you still have to manually cross-reference each payment against your rent roll. No automation, no receipts, no arrears tracking.
The gap most landlords miss: M-Pesa generates the payment. A property management system should automatically receive it, post it to the correct tenant ledger, send a KRA eTIMS-compliant receipt, and flag any arrears โ all without anyone touching a keyboard.
Here is what a landlord managing 30+ units on TenancyFlow by JATES experiences on the 1st of every month:
Apply at Safaricom Business or through an authorised agent. You'll need your business registration documents, KRA PIN, and a business bank account. The process takes 3โ7 business days. Cost: registration fee plus monthly charges depending on transaction volume.
The Safaricom Daraja API is what allows a software system to receive and process M-Pesa payments automatically. Not all property management software in Kenya has this integration. Look specifically for:
In your property management system, set up each property, each unit, each tenant, and each tenancy agreement โ including rent amount, due date, utility charges and any service fees. This is a one-time setup. Once done, the system runs the billing cycle automatically every month.
Provide your Paybill shortcode and the API credentials from Safaricom to your software provider. The system will register a URL (callback) with Safaricom โ every time a payment comes in on your Paybill, Safaricom pushes the notification to your system within seconds.
Run a test payment. Confirm the posting appears on the correct tenant ledger. Confirm the receipt is generated and sent. You're live. From this point forward, rent collection is fully automated.
The same M-Pesa infrastructure handles utilities and service charges. In TenancyFlow, you can capture water meter readings per unit, have the system calculate consumption, generate utility invoices, and collect payment through the same Paybill โ with each charge posting to its own ledger line.
One of our clients recovered KES 340,000 in previously untracked arrears in the first month of going live on TenancyFlow โ because the system surfaced arrears that had been missed in their manual Excel tracking.
TenancyFlow is JATES' property management platform built specifically for Kenya. M-Pesa Paybill, STK Push and B2C integration are core infrastructure โ not plugins or add-ons. The system handles rent, utilities, service charges, maintenance, financial reporting and KRA eTIMS receipting in one place.
